Field notes

Small Clinic Booking Work, Written Down Before It Gets Polished Away.

These notes are the trade-talk layer of Marian Apps: caveats, queue habits, wording decisions and the small clerical facts that decide whether software helps reception or merely rearranges the queue.

SMS wording plate Plate N01, reminder wording stack

Why No-show Wording Matters

“Please attend” is weaker than a message that names the clinic, the fee rule and the phone number reception actually monitors. The best reminder is not always the shortest one. It is the one that makes the next action plain.

See footnotes 1 and 2.

Saturday calendar plate Plate N02, Saturday is a different rule set

Saturday Calendars Are Not The Same As Overflow

A Saturday clinic is usually staffed differently, entered through a different door and paid at a different desk. Treating it as overflow from Wednesday creates tidy software and untidy work.

See footnote 3.

Receptionist override plate Plate N03, manual override kept visible

The Receptionist Override Button

Every clinic says it wants rules until a consultant asks for a patient to be squeezed in. The issue is not whether overrides exist. The issue is whether they are named, logged and easy to review without shaming the person who used one.

See footnotes 4 and 5.

CSV import plate Plate N04, import file with dirty joins

Importing Dirty Patient CSVs

Most migration delays are not technical. They are identity decisions: maiden names, duplicate mobile numbers, old addresses and patients who exist twice because one system used an apostrophe and the other did not.

See footnote 6.

Deposit rule plate Plate N05, deposit rule with exceptions

Deposits Without Turning The Clinic Into A Shop

Deposits can protect scarce appointments, but only if the exception rule is humane and visible. A clinic with vulnerable patients needs a different payment rhythm from a cosmetic room, and Marian Apps does not build the latter.

See footnotes 7 and 8.

Numbered observations

  1. A reminder that sounds like a bank alert tends to be ignored like a bank alert.
  2. No-show wording is approved by the clinic, not generated by Marian Apps.
  3. Saturday calendars often need separate cancellation cut-offs.
  4. The override button is not a loophole. It is a record of human judgement.
  5. Shared reception logins are refused for live clinics because overrides need names.
  6. CSV migration is priced from €420 up to 5,000 records, then €90 per additional 1,000 records.
  7. Deposit rules are configured for clinic operations, not for marketplace ranking.
  8. Marian Apps does not sell patient data, sponsored placement or lead generation.
